How to Prepare a Photo and Signature for an Online Application

Application portals often reject an otherwise correct photograph because its pixel dimensions, aspect ratio or file size fall outside a narrow range. A signature can fail for the same reasons. Random cropping and repeated screenshots usually make the result worse.

Write down every requirement

Before editing, note the required width, height, format and minimum or maximum file size. Use the Exam Photo and Signature Formatter to enter those targets directly.

Crop before compressing

First place the face or signature correctly inside the required aspect ratio. Then resize to the exact pixel dimensions. Compression should be the last step because it changes file size rather than composition.

Check the final file

Confirm the filename extension, dimensions and size shown by the tool. Open the downloaded result once before submission. For a photograph, check that the face is not stretched. For a signature, check that thin strokes remain visible.

FAQ

Can one preset work for every form?

No. Different portals use different requirements. Always follow the current instructions on the destination website.

Why did the portal reject the correct dimensions?

The format, file size, colour mode or filename may also be restricted. Review the portal message carefully.
